What is AI
AI is computer software that has learned from huge amounts of information, so it can understand questions, write, summarise and spot patterns. It’s a fast, useful tool, but a qualified person still checks its work before we rely on it.
How we use AI
We use a small number of approved, business-grade AI tools to help with routine work, so we have more time for you. Each of these tools is rigorously assessed prior to implementation and then monitored on an ongoing basis. A qualified member of our team checks all AI-assisted work before we rely on it or send it to you. Your adviser makes every decision that matters. AI does not make decisions about you.
The tools we use
• Karbon and Xero: AI features are provided within our practice management and accounting software. They help with tasks such as summarising correspondence, coding transactions and preparing drafts.
• PracOS: our own practice system. It helps us draft, summarise and organise work.
• Claude, ChatGPT and Microsoft 365 Copilot (Enterprise versions): used for drafting, summarising and analysis, and as an extra check on our work.
• Stackgo IdentityCheck: verifies your identity and screens against sanctions lists, as anti-money laundering laws require. It reports a result; our team reviews it and makes the decision.
• HubSpot: AI features in our client relationship and marketing system help us draft emails, summarise contact history and organise follow-ups.
• Meeting notes: with your agreement, we may record and transcribe meetings and calls using Microsoft Teams, Fathom or Plaud, so we can produce accurate notes and follow-up actions. We will always ask you first, and you can say no.
Your information
We only use business versions of these tools, and none of the tools use your information to train AI models. Some providers, including Xero, Claude and ChatGPT, Fathom and Plaud store or process information outside Australia, including in the United States and Singapore. Our Privacy Policy and Terms & Conditions explain how we protect and handle your information.
If you have any questions about how we use AI, ask your adviser or contact our Privacy Officer at admin@advisorypartner.com.au.
